We need "people-people" just as much as we need frontline responders. You likely know the Victoria State Emergency Service (VICSES) for our orange trucks, chainsaws, and flood boats. But our most valuable asset isn't our equipment - it's our volunteers. And to keep our operational crews ready to respond to local emergencies, we need exceptional support behind the scenes.
The VICSES Malvern Unit is seeking an organised, community-minded person to become the administrative anchor for our membership. We have the operational expertise; we need someone to help us manage the people side of things.
The Role
This is a strictly non-operational, office-based role. You won’t be climbing roofs in the rain. Instead, you will be applying your organisational skills and life experience to manage the administrative lifecycle of our volunteers.
Your key focus areas will include:
- Onboarding & Vetting: Smoothly guiding our incoming operational and non-operational recruits through the administrative pipeline, ensuring essential compliance checks (Police Checks, WWCC, medical declarations) are accurately processed.
- State Headquarters Liaison: Acting as a key point of contact between our local unit and VICSES State Headquarters to ensure membership-related activity is supported.
- Member Support: Serving as a trusted, welcoming contact for all volunteers regarding administrative updates, leave of absence requests, or general inquiries.
- Recognition: Tracking service milestones to ensure our dedicated members receive the internal awards and national medals they deserve.
- Ad-Hoc Support Recruitment: Occasionally assisting the management team in identifying and bringing on board other non-operational support volunteers (such as administrative, finance, or logistics helpers) as the need arises.
Who We Are Looking For
You do not need emergency service experience, nor do you need formal HR qualifications. We are looking for reliability, attention to detail, and a genuine desire to help.

The Commitment
We respect your time and understand you have a life outside of volunteering. We have designed this role to be highly flexible:
- Time: Only 2–3 hours per week.
- Location: Highly flexible. Much of the administrative work and HQ communication can be done from the comfort of your own home, with periodic visits to our Malvern unit required to meet recruits, access files, or attend management meetings.
