English Language Administration Volunteer

Location: 10-12 Victoria Road, Parramatta
Time Commitment: 1 day per week, 10am – 4pm.
Purpose / Objective
The JRS English Language program provides free English language support to people seeking asylum and refugees living in the Sydney community. The program aims to support participants to build confidence, improve everyday communication skills, strengthen community connection, and increase access to employment, education and navigate every day life.
The English Classes Administration Volunteer plays an important role in supporting the coordination and continuity of the program through administrative and operational assistance. This includes supporting class scheduling, attendance tracking, volunteer coordination, data entry, client communication and resource organisation to help ensure participants and volunteers have a positive and welcoming experience.

Duties & Responsibilities
o Provide administrative support to English class facilitators, volunteers and participants to support the smooth delivery of classes
o Maintain and update participant attendance records and databases to ensure accurate and up-to-date information
o Assist with class scheduling, room bookings and coordination of volunteer teaching support
o Respond to participant and volunteer enquiries via phone and email in a timely and welcoming manner
o Support participant enrolments, waitlists and class allocations
o Prepare, organise and maintain teaching and learning resources
o Assist with monitoring attendance trends and following up participant absences where required
o Support the creation of a welcoming, inclusive and trauma-informed environment for participants and volunteers
o Assist with general administrative and operational tasks related to the English Classes program
o Other duties as reasonably required
Selection Criteria
o Experience in working with people from various backgrounds and/or cultures
o Experience in administration, reception or customer service
o Strong organisational and administrative skills
o Good computer literacy, including Microsoft Office and database systems
o Strong verbal and written communication skills
o Ability to work collaboratively with staff, volunteers and people from diverse cultural and linguistic backgrounds
o A proactive, flexible and approachable attitude
