Position Summary

We need someone to help bring calm to the behind-the-scenes of a small charity—organise, streamline and use AI tools to support programs that help people and horses heal together.

About Us Horse Aid is a not-for-profit delivering equine-assisted programs (similar to equine therapy) for serving and ex-serving Defence personnel and first responders living with service-related trauma.

Alongside this, we work with Thoroughbred ex-racehorses—creating an environment where both people and horses can learn, rebuild trust, and move forward.

The Opportunity We’re looking for a thoughtful and highly organised Executive Assistant to help keep things running smoothly behind the scenes.

This role is about creating calm from busyness—managing inboxes, supporting admin, and using simple tools (including AI) to make things easier, clearer and more efficient.

Your work will quietly support something much bigger.

What You’ll Be Doing

Managing and triaging inboxes with care and clarity Drafting and responding to emails in a warm, human tone Supporting scheduling and coordination Assisting with documents, templates and simple reporting Using AI tools (e.g. ChatGPT or similar) to streamline admin Gently improving systems and processes over time

The Impact You’ll Have By helping create order and flow behind the scenes, you’ll directly support the delivery of programs that change lives—for both participants and the horses they work with.

Connection to Programs (Optional) For those based within reach of Helensburgh, NSW, there may be opportunities to attend or assist at program days from time to time.

This isn’t required, but it can be a meaningful way to see the impact firsthand and connect more deeply with the work.

What We’re Looking For

Strong admin and organisational skills Clear, thoughtful written communication Comfortable using (or open to learning) AI tools Calm, proactive and able to work independently Warm, grounded and aligned with our purpose Helpful (but not essential):

Interest in or connection to Defence, veterans or first responders Interest in horses, the racing industry, or animal welfare Experience in another not-for-profit or volunteer organisation

Time Commitment Flexible, approx. 3–6 hours per week Remote Ongoing preferred
